ABCD and UKKA  7th Joint Meeting

The conference has been instigated and organised by ABCD. Sponsors* have contributed funding towards this event in return for exhibition space. They have had no input into the agenda or the selection of speakers with the exception of any sponsored symposia which are clearly indicated.

ABCD Registration desk
The ABCD registration desk will be located in the Lancaster Suite entrance throughout the meeting. Please ask your personnel to come and register at the desk on arrival and they will receive their badge and be directed to the allocated exhibition space. We request that badges are worn throughout the meeting. The conference organising team will be based at this desk throughout the event should you have any queries.

Conference web pages
All delegate materials for these meetings will be available on the dedicated conference web pages, which can be viewed via your phone or tablet. All attending personnel will be emailed an invitation to download the pages prior to the meeting.

Please note that we are unable to provide a delegate list for this event due to GDPR regulations.  A delegate directory will be available via the dedicated pages which attendees are invited to sign up to.

Meeting Rooms
All meeting rooms  located within the Lancaster Suite on the ground floor area as follows:

Exhibition and Catering Room 
Exhibition stands will be set up in Lancaster 1 & 2 which will also be used for the tea and coffee breaks and lunch. The room is situated in the Lancaster Suite on the ground floor.  There is a dedicated Lancaster Suite entrance that can be used to access Lancaster 1&2.  

Stand dimensions

We would request that your stand is no larger than 3 metres wide by 2 metres deep for Premium stands and 2m wide for Standard. We cannot accommodate larger stands. Stands may be freestanding or table-top. There is no shell scheme.

Stand set up

Please set up your stand in Lancaster 1 & 2 between 07.00 and 08.30 on Wednesday 12th February 2025. We will NOT have access to this room the previous day.

Stand breakdown

Breakdown may commence after the last tea / coffee break on 12th February - please do not remove any stands before this time. All stands must be removed by 18.00 hours.  As the meeting room adjoins the exhibition space, we do ask that no power tools are used until the meeting finishes at 17.00 hours.

Sending stand materials

If you wish to send stand materials to the Holiday Inn Birmingham Airport in advance of the meeting you must read the following instructions on how to go about this.

Please ensure all items are labelled clearly with the following information. This must be printed in a font size 28 or larger, on A4 paper and stuck to each item to be delivered:

  • Your company name
  • Name of the event: 7th Joint Meeting of ABCD & UKKA
  • Date of the event: 12th February 2025
  • Main room for the event: Lancaster Suite
  • For the attention of: Daniel McMulkin, Meetings and Events Sales Manager
  • Part number x of x

All items must be sent no earlier than 2 working days prior to the event (ie. not before Monday 10th February), and should be scheduled to be delivered between 10.00am and 16.00pm on the date of delivery. You must email Daniel McMulkin at the the Holiday Inn Birmingham NEC at (conference@hiairport.co.uk) in advance of the delivery date to advise the number of packages, date of delivery and name of delivery company. Please pass these details on to any third party who might be sending items on your behalf. 

The delivery address is Holiday Inn Birmingham Airport NEC, Coventry Road, Birmingham, B26 3QW.

Please be advised that should the above not be adhered to then regrettably, due to the volume of general deliveries the Holiday Inn Birmingham Airport receive and their restricted storage space, they may have to turn your delivery away. Should this occur then the venue will not be responsible for any associated costs incurred.

Please ensure you have the courier name, reference number and a contact number with you onsite for you to track any problems.

Please note that neither the HIBA, Red Hot Irons Ltd, ABCD nor UKKA will accept any liability for packages.

Collection of stand materials

Should you wish the HIBA to store items for collection by your courier at a later date please take note of the following stipulations:

All items must be labelled with the following details:

  • Your company name
  • Your contact name
  • Your contact telephone number
  • Part number x of x
  • Collection date
  • Collector courier name
  • Destination

Please arrange for collection to be made within 48 hours of the event and after 10.00am. Please note that any items not collected within this time may be have to be disposed of by the venue unless alternative arrangements have been confirmed in writing in advance. Any charges associated with disposal will be need to be met by your company.
