ABCD Regional Midlands event - Sponsor Information

Thank you again for sponsoring the ABCD Regional Midlands event at The Holiday Inn Birmingham International, on 5th July.

Attending personnel
If you have not already done so, please confirm the names, email addresses & dietary/ access requirements for your two attending company personnel. We require these details by 12 June 2024.

Attending personnel are welcome to join the lectures during the conference, space permitting.  We would ask that delegates are allowed to take their seats first.  Capacity in the workshops will be limited and so we do ask that no personnel join these sessions

ABCD Registration desk
The ABCD registration desk will be located in the Lancaster Suite entrance, which has its own separate entrance from the hotel main entrance.  Please ask your personnel to come and register at the desk on arrival and they will receive their badge and be directed to the allocated exhibition space. We request that badges are worn throughout the meeting. The conference organising team will be based at this desk throughout the event should you have any queries. 

Conference web pages
All delegate materials for these meetings will be available on the dedicated conference web pages, which can be viewed via your phone or tablet. All attending personnel will be emailed an invitation to download the pages prior to the meeting.

Please note that we are unable to provide a delegate list for this event.

Meeting rooms
The following meeting rooms will be used during the event;

Lancaster Suite Entrance, situated outside the Lancaster Suite - Registration and ABCD welcome desk
Lancaster 1&2 - Exhibition and catering
Lancaster 3 - Plenary
 

All event space is located in the Lancaster Suite situated area on the ground floor of the

Exhibition Room
Exhibition stands will be set up in Lancaster 1&2 which will be used for the tea and coffee breaks & lunch. 

Stand dimensions
These are small meetings and as such we cannot accommodate large exhibition stands. Pull up banner stands or freestanding pop up stands would be most appropriate. We would request that your stand is no larger than 2 metres wide by 1 metre deep. Stands may be freestanding or table-top – please let me know if you require a table for your table-top stand. 

Stand set up
Set up times are as follows:

  • 5th July 2024 – 07.00 – 08.30am

Unloading
You’re welcome to deliver/collect items to/from The Holiday Inn Birmingham International.  Please note to add the following information:-

For a quick unload/load please use the dedicated entrance to the Lancaster Suite within the hotel car park.

No items must be left in the Lancaster Suite Entrance and must be brought into Lancaster 1&2 when unloading/loading.

Parking is free of charge during the day subject to availability and is charged at £12.00 per vehicle for an overnight stay, per night.  Parking is available on a first come, first served basis and you will be required to enter your car's registration at reception upon arrival. 

During peak periods overflow parking is also available just a 3 minute walk from the hotel's main entrance.  

Stand breakdown
Break down of stands may commence following the afternoon refreshment break at 15.25. No stands may be removed before this time. All stands must be removed by 17.30 hours on 5th July.

Please note that as sessions will be ongoing, no power tools may be used or undue noise until the event has finished at 16.45

Please note that neither the venue, Red Hot Irons Ltd nor ABCD will accept any liability for packages or equipment

Catering
All refreshments & lunch will be served in Lancaster 1&2.

We will endeavour to cater for any dietary requirements that have been specified before the day but regret that it may not be possible to provide a special diet if we have not been notified in advance.

Wi-Fi
Free wireless internet is available to all delegates during the meeting.
